Terms & Conditions

The terms and conditions below apply to all coaching provided by Alchemy of Polarity ("the Coach") to any individual or organization ("the Client") and constitute the contract for the service to be provided by the Coach for the Client.
1. Nature of Coaching Services
Coaching is a partnership (defined as an alliance, not a legal business partnership) between the Coach and the Client in a thought-provoking and creative process that inspires the Client to maximize personal and professional potential. It is designed to facilitate the creation and development of personal, professional, or business goals and to develop and carry out a strategy/plan for achieving those goals.
Important Disclaimers:
Client acknowledges that coaching does not involve the diagnosis or treatment of mental disorders as defined by the American Psychiatric Association and that coaching is not to be used as a substitute for counseling, psychotherapy, psychoanalysis, mental health care, substance abuse treatment, or other professional advice by legal, medical, or other qualified professionals.
It is the Client's exclusive responsibility to seek such independent professional guidance as needed. If Client is currently under the care of a mental health professional, it is recommended that the Client promptly inform the mental health care provider of the nature and extent of the coaching relationship agreed upon by the Client and the Coach.

2. Payment Terms
Pricing Structure:
Standard Rates:
- • Single Session: $333
- • Explorer Package (6 sessions): $1,500 ($250/session)
- • Mystic Package (12 sessions): $2,665 (~$222/session)
Referral Discount:
10% off for word-of-mouth referrals or gifted packages. Discount must be mentioned at time of booking.
Payment Schedule:
- • Single Session: Payment in full ($333) due at time of booking
- • Explorer Package: First payment due at booking, then 2 additional monthly payments of $500 (if using payment plan), OR payment in full ($1,500)
- • Mystic Package: First payment due at booking, then 5 additional monthly payments of $444 (if using payment plan), OR payment in full ($2,665)
Fees:
In return for the fees payable by the Client (or by a third party on their behalf), the Coach agrees to provide the service as described above and in accordance with these terms and conditions. The Client agrees to pay fees for the service on the terms and conditions set out below.
Payment Methods:
Fees can be paid online by debit or credit card, Venmo, or Zelle.
Fees are payable in advance of each coaching session unless otherwise agreed. Where payment has not been received by the Coach in advance of a coaching session, the Coach is not obliged to provide the session.
Late or Failed Payments:
If a scheduled payment fails, the Client has 7 days to update payment information. Late payments may incur a $25 administrative fee. Coaching services may be paused until payment is current.
No Refund Policy:
Alchemy of Polarity has a no-refund policy as a way of honoring the Client's commitment to personal development, informed decision-making, and accountability. All sales are final. No refunds will be provided for unused sessions.
3. Program Timeline & Session Expiration
Program Completion Timeframe:
When a Client pays for a package of sessions (Explorer or Mystic), they must complete the coaching sessions within the agreed timeframe:
- • The Explorer: Sessions must be completed within 4 months of start date
- • The Mystic: Sessions must be completed within 7 months of start date
If sessions are not completed within this timeframe, the payment for unused sessions is forfeited.
Pause Policy:
In exceptional circumstances (serious illness, family emergency, hospitalization), the Coach may agree to pause the program for up to 60 days. Pause requests must be made in writing and are subject to Coach approval. Payment plan installments continue during pause unless otherwise arranged.
4. Session Scheduling & Format
Format of Sessions:
Sessions are conducted via Google Meet video conferencing or audio phone call unless otherwise agreed. The Coach will provide the Google Meet link prior to video sessions, or the phone number for audio phone sessions.
Session Duration:
Sessions are typically 60-90 minutes in length, based on client needs and the natural flow of the session. The Coach and Client will collaboratively determine the appropriate session length.
Technical Requirements (for video sessions):
The Client is responsible for:
- • Having reliable internet connection (for video sessions)
- • Ensuring a private, quiet space for sessions
- • Testing Google Meet functionality before first session (if using video)
- • Being on time and prepared for each session
Scheduling:
The date and time of the first session and any subsequent sessions will be agreed between the Coach and the Client by phone or email and confirmed by the Coach by email.
5. Cancellation & Rescheduling Policy
Client Cancellations:
If a Client needs to reschedule a coaching session, they must provide at least 24 hours' notice. Cancellations with less than 24 hours' notice will result in forfeiture of that session.
Emergency Exceptions:
In cases of genuine emergency (serious illness, death in family, hospitalization), the Coach may use discretion to allow rescheduling with less than 24 hours' notice.
Coach Cancellations:
In exceptional circumstances, the Coach may need to reschedule a coaching session. In those instances, the Coach will give the Client 24 hours' notice where practical and will work with the Client to find an alternative time.
No-Shows:
If the Client misses a scheduled session without any notice, the session is forfeited and no refund or rescheduling will be provided.
6. Between Sessions Support
Assignments & Homework:
The Coach may assign the Client tasks or exercises to complete between coaching sessions. There is no obligation on the Client to complete these items, but not doing so may slow the Client's progress in achieving desired outcomes.
Where possible, Clients are requested to submit any information requested by the Coach relating to assignments at least 24 hours before the coaching session to allow both parties to prepare.
Email Support:
- • Explorer Clients: May contact the Coach via email between sessions for integration support. Response time is typically within 48 business hours.
- • Mystic Clients: May contact the Coach via email, Voxer, or WhatsApp between sessions. Response time is typically within 48 business hours.
- • Seeker Clients: Will receive one follow-up integration email after their session.
Administrative Contact:
The Client may contact the Coach by email between sessions for administrative purposes (e.g., rescheduling a session, payment questions) at no additional charge.
Additional Coaching:
Additional coaching can be provided between sessions. There may be an additional charge for this. The Coach will always advise the Client in advance if the nature of contact is likely to incur an additional charge, and no such charges will be imposed without the Client's agreement.
7. Confidentiality
Personal information or business information supplied by Clients in coaching sessions will be treated as confidential. It will not be disclosed to a third party without the Client's prior permission, except where:
- • Required by law
- • Action might be necessary to prevent harm to the Client or someone else
- • The Client discloses intent to harm themselves or others
- • Child abuse or elder abuse is disclosed or suspected
- • A court order requires disclosure
Session Notes:
The Coach may take notes during sessions for coaching purposes only. These notes are stored securely and remain confidential.
Testimonials:
At the conclusion of coaching, the Coach may request a testimonial from the Client. The Client is under no obligation to provide one. If the Client chooses to provide a testimonial, they grant permission for the Coach to use it on the website, social media, and marketing materials. Testimonials will be attributed to the Client's first name and last initial only unless the Client requests otherwise.
8. Client & Coach Responsibilities
Coach Responsibilities:
The Coach will seek to enable the Client to improve their self-esteem, quality of life, and to achieve their desired outcomes. The Coach commits to:
- • Showing up fully present for each scheduled session
- • Providing evidence-based coaching tools and practices
- • Maintaining professional boundaries and ethical standards
- • Honoring confidentiality
- • Communicating clearly about scheduling and expectations
Client Responsibilities:
The Client agrees to:
- • Arrive on time and prepared for each session
- • Participate actively and honestly in the coaching process
- • Complete agreed-upon integration practices between sessions (when possible)
- • Take full responsibility for their own decisions, actions, and outcomes
- • Maintain a respectful and professional demeanor
- • Provide timely notice for rescheduling
- • Make payments as agreed
Remarkable Results:
Remarkable results can be achieved where Clients follow a clear plan in a committed way. However, the Client has sole responsibility for taking important decisions in their life or business.
9. Limitation of Liability
No Guarantees:
The Coach does not guarantee specific results, outcomes, or transformations. Coaching results vary based on individual commitment, circumstances, and life context.
Coach Liability:
The Coach has no liability for any loss incurred by any Client, whether financial or otherwise, following commencement of coaching sessions, or for any perceived failure by the Client, whether justified or otherwise, to achieve a material improvement in quality of life, business, or to achieve their desired outcomes or goals.
Client Responsibility:
The Client understands and agrees that they are fully responsible for their own decisions, actions, and results during and after coaching.
10. Early Termination
Coach-Initiated Termination:
In exceptional circumstances, such as inappropriate behavior by the Client, actual or potential conflict of interest, repeated non-payment, or situations where the Client requires professional mental health support beyond coaching scope, the Coach can decide to terminate the service to the Client early or refuse to provide further coaching sessions.
In such circumstances, the Client will be given reasonable notice of termination by the Coach where practicable and will be refunded any advance payments made for coaching sessions not yet provided on a prorated basis.
Client-Initiated Termination:
The Client may terminate coaching at any time with written notice. However, no refunds will be provided for unused sessions. Outstanding payment obligations remain due.
11. Intellectual Property
Coach's Materials:
All materials provided by the Coach (workbooks, frameworks, recorded sessions, birth chart interpretations, integration exercises, etc.) remain the intellectual property of Alchemy of Polarity.
The Client may use these materials for personal growth only and may not reproduce, distribute, sell, or share these materials without written permission from the Coach.
12. Variation of Terms and Conditions
The Coach may change any of these terms or conditions, including fees, by giving the Client two weeks' notice in writing by email of the change(s).
If following receipt of such notification of change, the Client no longer wishes to proceed with further coaching sessions, they may withdraw from the service immediately by giving notice in writing by email. The Coach will determine if the Client is entitled to a refund and, if so, how much.
For clients who have already begun a coaching package, changes to terms will not take effect until the current package is completed.
13. Dispute Resolution
Informal Resolution:
If any issue arises, both parties agree to first attempt to resolve it through direct, respectful communication via email at alchemyofpolarity@gmail.com.
Mediation:
If informal resolution fails, both parties agree to 30 days of mediation before pursuing legal action. Mediation costs will be split equally between the Coach and Client.
14. Governing Law
This contract is governed by the laws of the State of New York. Any disputes arising from this agreement will be resolved in accordance with New York law. In the event of any legal dispute, both parties agree to first attempt informal resolution and mediation before pursuing formal legal action.
15. Acceptance of Terms
Start Date:
The date that the first paid coaching session takes place shall be deemed the start date for the service.
Agreement:
Participation by any individual in the first paid coaching session, or booking of any coaching session, constitutes acceptance of these terms and conditions.
By booking a discovery call or purchasing coaching services, the Client acknowledges that they have read, understood, and agree to be bound by these Terms & Conditions.
16. Feedback
Feedback about the service is welcomed and can be given during a coaching session or via email at alchemyofpolarity@gmail.com.
